1. Introduction and Acceptance of Terms
Welcome to the website and online store of the American Health Information Management Association ("AHIMA," "we," "us," or "our"). AHIMA is a professional association headquartered at 201 West Lake Street, Chicago, Illinois 60606, that supports health information management professionals. These Terms of Use ("Terms") govern your access to and use of the AHIMA website located at www.ahima.org, the AHIMA Store, and all related services, features, content, and applications offered by AHIMA (collectively, the "Services").
By accessing or using the Services, you agree to be bound by these Terms and all applicable laws and regulations. If you do not agree with any provision of these Terms, you must not access or use the Services. Your continued use of the Services following the posting of any changes to these Terms constitutes your acceptance of those changes.
These Terms constitute a legally binding agreement between you and AHIMA. Please read them carefully.
2. Definitions
For purposes of these Terms, the following definitions apply:
"Account" means a user account registered with AHIMA to access certain features of the Services, including the MyAHIMA portal and the AHIMA Store.
"Content" means all text, graphics, images, photographs, videos, audio, data, information, software, and other materials appearing on or available through the Services.
"Order" means your request to purchase products or services through the AHIMA Store.
"Products" means any goods, publications, textbooks, code books, educational materials, certification exams, membership subscriptions, event registrations, or other items available for purchase through the AHIMA Store.
"User" or "you" means any individual who accesses or uses the Services.
3. Eligibility
By using the Services, you represent and warrant that you are at least eighteen (18) years of age and have the legal capacity to enter into a binding agreement. If you are accessing the Services on behalf of an organization, you represent that you have the authority to bind that organization to these Terms.
You further represent and warrant that you are not located in a country subject to a U.S. government embargo or designated as a "terrorist-supporting" country, and you are not listed on any U.S. government list of prohibited or restricted parties.
4. Account Registration and Security
4.1 Account Creation
To access certain features of the Services, including the AHIMA Store and member resources, you may be required to create an Account by providing accurate, current, and complete information. You agree to update your Account information promptly to keep it accurate and complete.
4.2 Account Security
You are responsible for maintaining the confidentiality of your Account credentials and for all activities that occur under your Account. You must choose passwords that meet reasonable security standards. You agree to notify AHIMA immediately if you believe your Account has been compromised, accessed without authorization, or your login credentials have been disclosed or stolen. 4.3 Account Restrictions
You may not create accounts using automated methods or bots. Unless expressly permitted, you may register only one Account and may not share your Account credentials with other persons.
4.4 Account Termination
You may close your Account at any time by contacting us at info@ahima.org. AHIMA reserves the right to suspend or terminate your Account without prior notice if we reasonably believe that you have violated these Terms, engaged in fraudulent activity, or conducted yourself in a manner that may harm AHIMA or other users.
5. Products and Purchases
5.1 Product Descriptions and Availability
AHIMA strives to accurately describe and display products offered through the AHIMA Store, including textbooks, code books (such as ICD-10-CM and ICD-10-PCS code books), certification exam preparation materials, membership subscriptions, and continuing education resources. However, we do not warrant that product descriptions, images, pricing, or other content are accurate, complete, reliable, current, or error-free. Product availability is subject to change without notice.
5.2 Pricing
All prices are displayed in U.S. dollars unless otherwise indicated. Prices are subject to change without notice. AHIMA reserves the right to correct any pricing errors and to cancel or refuse any orders placed at an incorrect price. Applicable taxes, shipping, and handling charges will be displayed during checkout.
5.3 Order Acceptance and Processing
Submitting an Order constitutes an offer to purchase the selected Products. AHIMA reserves the right to accept or reject any Order for any reason, including but not limited to product unavailability, pricing errors, suspected fraud, or violations of these Terms. An Order is not binding on AHIMA until we send you an order confirmation. We will not dispatch Orders until payment has been successfully processed and cleared.
5.4 Promotion Codes and Discounts
Promotional codes or discounts, including those provided with book bundles, are single-use, non-transferable, and cannot be combined with other offers unless expressly stated. AHIMA reserves the right to modify or terminate promotions at any time.
5.5 Digital Products and Access Codes
Certain Products, including ebooks, digital resources, and examination vouchers, are delivered electronically. Access codes are single-use and may be redeemed according to the instructions provided. Digital Products are non-refundable once the access code has been revealed, redeemed, or the digital content has been accessed.
6. Payment Terms
6.1 Accepted Payment Methods
AHIMA accepts major credit cards (Visa, Mastercard, American Express, Discover) and other payment methods as displayed during checkout. By providing payment information, you represent and warrant that you are authorized to use the payment method and that the information provided is accurate.
6.2 Authorization to Charge Payment Card
By submitting an Order and providing your payment card information, you expressly authorize AHIMA and our payment processors to charge your payment card for the total Order amount, including Products, applicable taxes, shipping charges, and any other fees disclosed at checkout. You consent to AHIMA storing your payment card information in accordance with applicable Payment Card Industry Data Security Standards (PCI DSS) for the purpose of processing your current transaction and, if you elect, for future transactions.
6.3 Recurring Payments
If you purchase a subscription-based Product (such as membership), you authorize AHIMA to charge your payment card on a recurring basis at the applicable renewal rate until you cancel your subscription. You may cancel your subscription at any time by contacting AHIMA Customer Relations at (800) 335-5535 or info@ahima.org. Cancellation will take effect at the end of the current billing period.
6.4 Payment Failure
If your payment method is declined or fails, AHIMA reserves the right to cancel your Order or suspend your access to subscription-based Products until payment is successfully processed.
6.5 Payment Security
AHIMA uses industry-standard encryption and security measures to protect your payment information during transmission. Our payment processing partners are PCI DSS compliant. However, no method of electronic transmission or storage is completely secure, and AHIMA cannot guarantee absolute security of your payment information.
7. Shipping and Delivery
7.1 Shipping Methods and Timing
Products are shipped to the address you provide during checkout. Shipping methods, estimated delivery times, and costs are displayed during the checkout process. AHIMA is not responsible for delays caused by carriers, customs, or circumstances beyond our control.
7.2 Risk of Loss
Risk of loss and title for physical Products pass to you upon delivery to the carrier. AHIMA recommends using a delivery method that offers tracking services.
7.3 Delivery Issues
Upon delivery, please inspect your order and report any damage, defects, or discrepancies promptly to info@ahima.org. If a parcel appears visibly damaged upon delivery, you may refuse to accept it.
7.4 Failed Delivery
AHIMA is not liable for delivery failures caused by incorrect or incomplete address information provided by you. If Products are returned due to failed delivery, we will contact you to arrange redelivery, which may be at your expense.
8. Returns and Refunds
8.1 Return Policy for Individuals
AHIMA accepts returns of eligible Products within thirty (30) days from the product delivery date, provided the following conditions are met:
a) The return shipment is received within 30 days from the product delivery date; b) A packing slip, order invoice copy, or order confirmation is included with the return; c) The customer accepts responsibility for return shipping costs; d) Products are not damaged and any scratch-off access codes have not been revealed or partially removed.
Damage includes, but is not limited to, highlighting or marks, bent, cut, or torn covers or pages, signs of use or wear (such as broken or worn spine), or missing components.
8.2 Products Not Eligible for Return
The following Products are not eligible for return under any circumstances: ebooks, custom products, digital access codes (revealed or redeemed), damaged print books, and print books with revealed or redeemed access codes. Returned Products that are ineligible or damaged will not be returned to the customer, and no refund will be provided.
8.3 Return Instructions
To initiate a return, include one of the following with your return: packing slip, copy of order invoice, or order confirmation. All components of the Product must be included. Package items securely to prevent damage during shipping. Use a delivery method with tracking. Ship returns to:

8.4 Return Processing
Return processing time is approximately two to three weeks. Refunds will be processed to the original payment method.
8.5 Bookstore and Reseller Returns
Bookstores and authorized resellers must obtain a Return Merchandise Authorization (RMA) prior to submitting returns. Please contact returns@ahima.org for RMA procedures and requirements.
9. Intellectual Property Rights
9.1 AHIMA's Intellectual Property
All Content on the Services, including but not limited to text, graphics, logos, trademarks, service marks, trade names, images, photographs, illustrations, audio, video, software, and code, is the property of AHIMA or its licensors and is protected by United States and international copyright, trademark, patent, and other intellectual property laws.
9.2 Limited License
Subject to your compliance with these Terms, AHIMA grants you a limited, non-exclusive, non-transferable, revocable license to access and use the Services for your personal, non-commercial purposes. You may not copy, reproduce, distribute, modify, create derivative works from, publicly display, publicly perform, republish, download, store, transmit, sell, license, or exploit any Content except as expressly permitted by these Terms or with prior written authorization from AHIMA.
9.3 Trademark Notice
"AHIMA," the AHIMA logo, "Journal of AHIMA," "AHIMA Press," "Body of Knowledge," "MyAHIMA," "AHIMA VLab," and other AHIMA marks, logos, and product names are trademarks or registered trademarks of AHIMA. You may not use these marks without our prior written permission.
9.4 Copyright and Permissions
Requests to reproduce or use AHIMA materials should be submitted through the Copyright & Permissions Request process at www.ahima.org.
10. Acceptable Use
10.1 Prohibited Conduct
You agree not to use the Services to:
a) Violate any applicable law, regulation, or these Terms; b) Infringe upon the intellectual property, privacy, publicity, or other rights of AHIMA or third parties; c) Transmit any content that is unlawful, harmful, threatening, abusive, harassing, defamatory, vulgar, obscene, or otherwise objectionable; d) Impersonate any person or entity or misrepresent your affiliation with any person or entity; e) Interfere with or disrupt the Services or servers or networks connected to the Services; f) Attempt to gain unauthorized access to any portion of the Services, other accounts, computer systems, or networks; g) Use any automated means (including bots, scrapers, or spiders) to access or collect information from the Services; h) Introduce viruses, malware, or other harmful code; i) Engage in any activity that could disable, overburden, or impair the Services; j) Circumvent any access controls or security measures; k) Harvest or collect personal information of other users; l) Use the Services for commercial solicitation without AHIMA's written consent.
10.2 Enforcement
AHIMA reserves the right to investigate any suspected violation of these Terms and to take appropriate action, including but not limited to suspending or terminating your access to the Services, reporting violations to law enforcement authorities, and pursuing legal remedies.
11. User-Generated Content
11.1 Submissions
If you submit, post, or transmit any content to or through the Services (including reviews, comments, feedback, or suggestions) ("User Content"), you grant AHIMA a non-exclusive, royalty-free, perpetual, irrevocable, worldwide license to use, reproduce, modify, adapt, publish, translate, distribute, publicly display, and create derivative works from your User Content in any media.
11.2 Responsibility for User Content
You are solely responsible for your User Content. You represent and warrant that you own or have the necessary rights to submit your User Content and that your User Content does not violate any third-party rights or applicable laws.
11.3 Moderation
AHIMA reserves the right, but has no obligation, to monitor, edit, or remove User Content that we determine, in our sole discretion, violates these Terms or is otherwise objectionable.
12. Third-Party Links and Resources
The Services may contain links to third-party websites, applications, or resources that are not owned or controlled by AHIMA. We provide these links for your convenience only and do not endorse or assume any responsibility for the content, privacy policies, or practices of any third-party sites. Your interactions with third-party sites are governed by their respective terms and policies.
13. Disclaimer of Warranties
THE SERVICES AND ALL CONTENT, PRODUCTS, AND SERVICES MADE AVAILABLE THROUGH THE SERVICES ARE PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT WARRANTIES OF ANY KIND, EITHER EXPRESS OR IMPLIED. TO THE FULLEST EXTENT PERMITTED BY LAW, AHIMA DISCLAIMS ALL WARRANTIES, EXPRESS OR IMPLIED, INCLUDING BUT NOT LIMITED TO IMPLIED WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, TITLE, AND NON-INFRINGEMENT.
AHIMA DOES NOT WARRANT THAT THE SERVICES WILL BE UNINTERRUPTED, ERROR-FREE, SECURE, OR FREE OF VIRUSES OR OTHER HARMFUL COMPONENTS. AHIMA DOES NOT WARRANT THE ACCURACY, COMPLETENESS, OR RELIABILITY OF ANY CONTENT OR INFORMATION AVAILABLE THROUGH THE SERVICES.
YOUR USE OF THE SERVICES IS AT YOUR OWN RISK. SOME JURISDICTIONS DO NOT ALLOW THE EXCLUSION OF CERTAIN WARRANTIES, SO SOME OF THE ABOVE EXCLUSIONS MAY NOT APPLY TO YOU.
14. Limitation of Liability
TO THE FULLEST EXTENT PERMITTED BY APPLICABLE LAW, IN NO EVENT SHALL AHIMA, ITS OFFICERS, DIRECTORS, EMPLOYEES, AGENTS, AFFILIATES, LICENSORS, OR SERVICE PROVIDERS BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, PUNITIVE, OR EXEMPLARY DAMAGES, INCLUDING BUT NOT LIMITED TO DAMAGES FOR LOSS OF PROFITS, GOODWILL, USE, DATA, OR OTHER INTANGIBLE LOSSES, ARISING OUT OF OR RELATING TO YOUR ACCESS TO OR USE OF (OR INABILITY TO ACCESS OR USE) THE SERVICES, WHETHER BASED ON WARRANTY, CONTRACT, TORT (INCLUDING NEGLIGENCE), STATUTE, OR ANY OTHER LEGAL THEORY, EVEN IF AHIMA HAS BEEN ADVISED OF THE POSSIBILITY OF SUCH DAMAGES.
IN NO EVENT SHALL AHIMA'S TOTAL LIABILITY TO YOU FOR ALL CLAIMS ARISING OUT OF OR RELATING TO THESE TERMS OR THE SERVICES EXCEED THE AMOUNT YOU PAID TO AHIMA IN THE TWELVE (12) MONTHS PRECEDING THE EVENT GIVING RISE TO THE LIABILITY.
THE LIMITATIONS SET FORTH IN THIS SECTION SHALL APPLY REGARDLESS OF THE FAILURE OF ESSENTIAL PURPOSE OF ANY LIMITED REMEDY. SOME JURISDICTIONS DO NOT ALLOW THE LIMITATION OR EXCLUSION OF LIABILITY FOR CERTAIN DAMAGES, SO SOME OF THE ABOVE LIMITATIONS MAY NOT APPLY TO YOU.
15. Indemnification
You agree to indemnify, defend, and hold harmless AHIMA, its officers, directors, employees, agents, affiliates, licensors, and service providers from and against any and all claims, damages, losses, liabilities, costs, and expenses (including reasonable attorneys' fees) arising out of or relating to: (a) your use of the Services; (b) your User Content; (c) your violation of these Terms; (d) your violation of any applicable law or third-party rights; or (e) any dispute between you and a third party.
16. Dispute Resolution
16.1 Governing Law
These Terms and any disputes arising out of or relating to these Terms or the Services shall be governed by and construed in accordance with the laws of the State of Illinois, without regard to its conflict of law principles.
16.2 Informal Resolution
Before initiating formal dispute resolution proceedings, you agree to contact AHIMA at info@ahima.org to attempt to resolve any dispute informally.
16.3 Arbitration
Any dispute, controversy, or claim arising out of or relating to these Terms or the Services that cannot be resolved informally shall be resolved by binding arbitration administered by the American Arbitration Association in accordance with its Commercial Arbitration Rules. The arbitration shall take place in Chicago, Illinois, or at another mutually agreed location. The arbitrator's decision shall be final and binding, and judgment on the award may be entered in any court of competent jurisdiction.
16.4 Class Action Waiver
TO THE FULLEST EXTENT PERMITTED BY LAW, YOU AND AHIMA AGREE THAT ANY ARBITRATION OR LEGAL PROCEEDING SHALL BE CONDUCTED ON AN INDIVIDUAL BASIS AND NOT AS A CLASS ACTION, COLLECTIVE ACTION, OR REPRESENTATIVE ACTION. YOU WAIVE ANY RIGHT TO PARTICIPATE IN A CLASS ACTION OR TO SERVE AS A CLASS REPRESENTATIVE.
16.5 Exceptions
Notwithstanding the foregoing, either party may seek injunctive or other equitable relief in any court of competent jurisdiction to protect its intellectual property rights.
17. Changes to Terms
AHIMA reserves the right to modify these Terms at any time. We will notify you of material changes by posting the updated Terms on the Services with a new "Last Updated" date. Your continued use of the Services after any changes constitutes your acceptance of the revised Terms. We encourage you to review these Terms periodically.
18. Severability
If any provision of these Terms is found to be invalid, illegal, or unenforceable, the remaining provisions shall continue in full force and effect. The invalid or unenforceable provision shall be modified to the minimum extent necessary to make it valid and enforceable while preserving the parties' original intent.
19. Waiver
The failure of AHIMA to exercise or enforce any right or provision of these Terms shall not constitute a waiver of such right or provision. Any waiver must be in writing and signed by an authorized representative of AHIMA.
20. Entire Agreement
These Terms, together with the Privacy Policy and any other policies or agreements referenced herein, constitute the entire agreement between you and AHIMA regarding your use of the Services and supersede all prior agreements, communications, and understandings.
21. Assignment
You may not assign or transfer your rights or obligations under these Terms without AHIMA's prior written consent. AHIMA may assign or transfer its rights and obligations under these Terms without restriction.
